This policy explains what personal data we collect, why, how long we keep it, and the rights you have over it. It is written to be read, not just filed.

Who we are

What we collect and why

We collect only what we need to answer enquiries and deliver our services.

  • Contact form submissions. When you use our contact form we collect your name, work email, website URL, and any company, platform, or message details you provide. We use this to respond to your enquiry and to scope potential work. The lawful basis is our legitimate interest in responding to people who contact us, and taking steps at your request before entering a contract.
  • Email correspondence. If you email us, we keep that correspondence so we can manage the relationship and provide our services.
  • Client project data. When you engage us, we are given access to systems that contain data (see the section on client system access below).

Our form processor

Our contact form is handled by Formspree, a third-party form backend. When you submit the form, the data you enter is transmitted to and processed by Formspree on our behalf so that we receive your message. Formspree acts as a data processor. You can review Formspree’s own privacy practices on their website. We chose a processor rather than building our own endpoint so that submission data is handled by a specialist service with its own security controls.

Client system access

Delivering technical SEO work means we are often granted access to client systems that contain data. This can include Google Search Console, Bing Webmaster Tools, analytics platforms, and server or CDN log files. We treat this access with care.

  • We request the minimum access level needed to do the work, read-only wherever possible.
  • We use the access only for the agreed engagement, never for any other purpose.
  • Log files can contain IP addresses and user agents. We handle them as confidential, analyse them only for the engagement, and store them securely for the shortest time needed.
  • On completion of an engagement, or on request, we remove our access to your systems and delete working copies of exported analytics, Search Console, and log data within 30 days, except where we are legally required to retain records.

How long we keep data

We keep enquiry data for as long as needed to respond and, if a relationship develops, for the duration of that relationship plus a reasonable period afterwards for our records. Client project data and exported system data are deleted as described above. We do not keep personal data longer than we have a clear reason to.

Who we share data with

We do not sell personal data. We share it only with service providers who help us operate, such as our form processor and our email provider, and only to the extent needed. Where a provider processes data on our behalf, we put appropriate agreements in place. We may disclose data if required by law.

International transfers

Some of our providers may process data outside your country or region. Where that happens, we rely on appropriate safeguards, such as standard contractual clauses or an equivalent recognised mechanism, to protect the data.

Your rights

Depending on your location, you may have the right to access the personal data we hold about you, to have it corrected or deleted, to restrict or object to certain processing, and to data portability. If our processing relies on consent, you can withdraw it at any time. To exercise any right, email fabi@site-media.co.uk and we will respond within the timeframe required by law. You also have the right to complain to your local data protection authority.

Security

We use reasonable technical and organisational measures to protect personal data, including access controls and secure storage. No method of transmission or storage is completely secure, but we take our obligations seriously and limit what we hold.

We may update this policy as our practices or the law change. The date at the top reflects the latest revision. Material changes will be made clear on this page.
